Proposals in ChatGPT

Beta. If you don't see Settings → Integrations in your Proposals account yet, write to support@proposals.co and we'll switch it on for your team.

Connect Proposals to ChatGPT once, and you can turn call notes into a proposal without leaving the chat. ChatGPT asks Proposals to write the draft, relays any questions to you, publishes when you say so, and then writes the email with the link. Proposals never sends that email: you do.

What you need

  • A Proposals account with integrations switched on.
  • A ChatGPT plan that lets you add custom connectors (MCP servers). Which plans allow it, and whether an admin has to approve it first, depends on your ChatGPT plan and workspace settings. On business plans, a workspace admin may need to add the connector for everyone.
  • The server address: https://api.proposals.co/mcp

Connect

ChatGPT's menus change from time to time, so the names below may differ slightly in your account.

  1. In ChatGPT, open Settings and find the connectors section (it may be called Connectors or Apps & Connectors). If adding your own connector requires it, turn on the advanced or developer option there first.
  2. Add a new custom connector. Name it Proposals and paste https://api.proposals.co/mcp as the server URL. Choose OAuth as the authentication method if ChatGPT asks.
  3. ChatGPT opens a Proposals page. Log in if needed and check what the connector is asking for:
    • reading your brands and proposals,
    • creating and changing proposals,
    • publishing proposals, which is unticked by default. Leave it unticked if you'd rather publish in the panel yourself.
  4. Approve. You're back in ChatGPT and the connector shows as connected.

To use it in a chat, enable the Proposals connector for that conversation (from the tools or connectors menu under the message box), then just ask.

Make your first proposal

Paste your notes and say what you want:

Make a proposal for Lila Flowers based on these notes from today's call. Their site is lila-flowers.example. The contact is Anna Novak, anna@lila-flowers.example. 6 pages, $9,000, half upfront and half on delivery.

(your notes)

What happens next:

  1. ChatGPT creates the proposal. Proposals starts writing the draft, which usually takes 30 to 120 seconds; ChatGPT checks back on its own.
  2. If the notes are ambiguous, you get a question instead of a guess, for example: "The notes also mention $12,000. Which amount is current?" Answer it in the chat.
  3. When the draft is ready, ChatGPT shows a summary: client, scope in a few points, price, anything the pre-publish check flagged, and a link to review the draft in the panel.
  4. Ask for changes in plain words: "Make the SEO section shorter and add a 5-week timeline."
  5. Say "Publish it". If the connector has the publish permission and nothing blocks publishing, you get the public link.
  6. Ask ChatGPT to write the email to Anna. It uses the link exactly as Proposals returned it and only the facts from the proposal. You send it from your own mailbox, then tell ChatGPT it's sent so the proposal is marked as sent.

Later you can ask "Has Anna opened the proposal?" and ChatGPT reads the current status.

The tool descriptions tell the model not to invent a price, to ask you the questions rather than answer them itself, to publish only when you ask, and to use the link and facts without embellishing them. Proposals also enforces the important parts on its side: without the publish permission, or with a blocker in the pre-publish check, publishing is refused no matter what the model says.

Good to know

  • Price. If you give a price, it's the one on the proposal, even if the notes mention another amount (you'll get a question or a warning about the difference). If you don't give one, Proposals never makes one up.
  • Several brands. If your team sends from more than one brand, say which one ("from Northwind Studio"). ChatGPT can list them.
  • Where to review. Every proposal made in ChatGPT is in your panel, marked "Created in ChatGPT", with the full editor. Edits in the panel and revisions from ChatGPT work on the same draft; if they collide, nothing is lost and ChatGPT is told to reload.
  • Limits. The connection has the same limits as an API key, and every proposal counts against your plan like one made in the panel. See Limits.

Disconnect

In Proposals, go to Settings → Integrations → Connected apps and disconnect ChatGPT. Access ends immediately. You can also remove the connector in ChatGPT's settings.

Troubleshooting

You see What to do
ChatGPT says integrations aren't enabled Integrations are in beta and switched on per team. Write to support@proposals.co.
"Missing permission" when publishing The connector was approved without publishing. Publish from the panel, or disconnect and connect again with publishing ticked.
Publishing refused because of blockers The pre-publish check found something that must be fixed first. Open the draft from the panel link and fix it there.
"Confirm the brand name in the panel" Your brand's name isn't confirmed yet. Confirm it once in the brand settings, then try again.
Too many requests Wait a minute. At most three proposals per team are written at the same time.
